Title: Program Manager

Status: Full-time; 40 hours per week; overtime exempt, hours may vary

Reports to: Executive Director

Salary: Low to mid thirties, health/dental insurance, CLT time

Supervises: Smart Meals Dietitian, Site Coordinator, Peer Advocates, Lead Mental Health Counselor, Volunteers

Overview: This individual is responsible for coordinating the AIDS Community Center and Smart Meals programs, volunteers, and the facility space needs.

Qualifications:

1. Bachelors degree

2. A minimum of two years experience working with persons living with HIV/AIDS

3. A minimum of two years management experience in a not-for-profit setting

4. Knowledge of HIV/AIDS services in the 17 county upstate New York region and issues related to the global, countrywide and local HIV pandemic.

5. Outgoing; caring; able to prioritize and organize multiple tasks at once

6. Proficiency in MS Word/Excel/Outlook/Publisher and e-mail. Experience with URS/AIRS a plus.

7. Persons living with HIV/AIDS and/or persons from communities of color are encouraged to apply

Duties and Responsibilities:

General: Encourage and maintain the Albany Damien Center's (ADC) mission of hospitality; Maintain confidentiality and non-discriminatory conduct in accordance with ADC policies; Keep abreast of changes in the AIDS epidemic and the resulting needs of target population

 

AIDS Community Center Coordination:

  • Coordinate and foster relationships with service providers for ACC programs and activities

  • Develop new programming and activities that will increase health and quality of life for ADC members

  • Develop and coordinate printing and distributing of monthly calendar

  • Ensure grant tracking for tally and AIRS (AIDS Institute Reporting System) of members served for each program.

  • Communities of Color Grant – ensure the COC Grant including, but not limited to Community (living room), Group (Healthy Relationships), and individual (counseling and advocate referrals) is being administered in accordance with Grant workplans and timelines.

  • Supervise and perform, (if needed), duties of Peer Advocates including:
    1. Managing Drop-in Living Room (welcome guests, provide tours, direct to appropriate programs and activities)
    2. Peer Referral/Problem Solving (assist guests in problem resolution pertinent to the ADC mission and provide referrals to area agencies and perform follow-up)
    3. Coordinate programs (ensure scheduling of guest appointments for programs, promote programs and events to guests, monitor guest satisfaction and attendance in programs)

 

Smart Meals

  • Ensure the provision of meals in accordance with grant funding, health code, and nutrition requirements

  • Supervise duties of Smart Meals Dietitian and assist with administrative aspects of the position

  • Provide timely grant report data on program deliverables specific to ADC tally and AIRS requirements.

  • Ensure the program components of the Nutrition Initiative Grant (in accordance with program areas of Community Meals, Grocery Education, Food Vouchers, and Home Delivered Meals) are being performed within the AIDS Institute standards and workplan/timelines.

 

Volunteers:

  • Solicit, interview, and train new volunteers. Provide for periodic in-services.

  • Refer volunteers to appropriate program staff (ACC, SM, PAWS, TC) and ensure that volunteers are being scheduled and utilized appropriately.

  • Schedule, motivate, and supervise individual, community group, and guest volunteers to perform daily and periodic tasks as needed.

 

Staff:

  • Train, supervise, support, and motivate ADC staff including Smart Meals Dietitian, Site Coordinator, Peer Advocates, Lead Mental Health Counselor.

  • Provide for probationary and annual evaluations

  • Organize staff schedules, payroll timesheets, and CLT time

  • Run staff meetings and provide for periodic in-services/trainings

 

Facility

  • Ensure the cleanliness, organization, repairs, and improvements of the ADC physical space with the assistance of the Site Coordinator, staff, and volunteers.

 

Administrative

  • Handle routine requests, mail, and inquiries

  • Develop and Coordinate CQI (Continuous Quality Improvement) processes

  • Provide reports and data tracking for grant budgets, outcomes, and deliverables.

  • Provide Executive Director with timely reports and updates on program activities.

  • Perform other tasks as required

 

Public Relations & Fundraising:

  • Encourage involvement of PLWH/As and feedback on ADC services

  • Assist the Executive Director with serving as the public face of the Center at community events, meetings, etc., as needed

  • As requested by Executive Director, assist with coordinating fundraising and development efforts – particularly with use of volunteers to assist with these activities

Reports to: Associate Director

Supervises: Volunteers

Overview: This individual is responsible for ensuring the physical space of the Center and grounds are organized, maintained, and improved.

Qualifications:

  1. Ability to work independently
  2. Access to a truck/utility vehicle
  3. Ability to lift heavy items, typically up to 50 pounds
  4. Experience with grounds keeping, general repairs and managing volunteers or staff

Duties and Responsibilities:

General:

  1. Encourage and maintain Center's mission of hospitality
  2. Maintain confidentiality and non-discriminatory conduct in accordance with Center policies

Facilities and Maintenance:

  1. Procure, receive, and organize inventory items and storage areas
  2. Maintain and care for Center facilities, equipment, furniture, and tools
  3. Facilitate regular cleaning of indoor and outdoor areas including cleaning house and periodic deep cleaning
  4. Be proactive in performing ongoing general maintenance to the house
  5. Design and care for lawn, plants, and gardens
  6. Shovel snow; remove garbage and recycling and place and remove from curb in accordance with City ordinances
  7. Oversee outside contractors (plumbing, electrical, etc.)

Other:

  1. Organize and train volunteers and community groups to assist with tasks
  2. Maintain list of volunteers and necessary tasks; utilize Administrative Assistant to assist with these items as available
  3. Report any safety concerns to Programs Manager
  4. Ensure timely decoration and breakdown of house according to holiday
  5. Assist in set-up and break down of fundraising activities, as needed
  6. Periodically assist Treasure Chest Manager with donation pickups as required
  7. Perform other tasks as required
